How it works & what to provide

From chargeback notice to a better-prepared defense.

Two phases. Clear instructions. Support along the way.

Phase 01 / Analyze & Strategize

Create your profile and upload your case.

Open the client portal and create your member profile. Upload the chargeback notice, the stated deadline, relevant documents, and your initial explanation or response.

Review the outline and strengthen the evidence.

Follow the requested evidence checklist. Provide any additional records and be open to a discussion about how to strengthen your submission.

Phase 02 / Build & Respond

Receive and review your defense response.

Chargeback Navigator prepares an organized response aligned with the applicable card-brand requirements and dispute type. Review the facts, attachments, and instructions before submitting.

Submit on time and share the outcome.

Submit the response through the channel required by your processor or acquiring bank. Keep confirmation of submission, then share the decision so we can help you learn from the result.

Your deadline matters. Uploading documents to Chargeback Navigator is not the same as submitting a response to your processor. Follow the deadline and submission instructions in your chargeback notice. Contact your processor promptly when a deadline is close.

What to provide

Start with the right records.

The documentation needed depends on the dispute. Start with the notice, your explanation, and the relevant facts.

Chargeback notice.

The dispute reason or code, case reference, and response deadline.

Transaction records.

The receipt or invoice, amount, transaction date, and relevant payment records.

Your initial explanation.

A factual timeline and any response you have already submitted.

Proof of delivery or service.

Tracking, delivery confirmation, signed work orders, or other completion records, as applicable.

Agreements and policies.

Relevant terms, return or cancellation policies, and evidence of customer acknowledgement.

Communications and credits.

Relevant messages, refund records, and attempts to resolve the concern.

Use the client portal for case documents. Do not upload CVV/CVC codes, PINs, or full payment-card images. Redact unnecessary card and personal information. Provide accurate, relevant records only.
